Contact rules

Every student, doctoral student or a person employed at the Jagiellonian University can use our support. It does not matter whether you are a full-time or part-time student or under what type of contract you work at the university.

Contact us, among others, if:

  • you are a victim of or witness to a crime committed at the JU;
  • you are a victim of or witness to a situation that violates safety or equal treatment principles at the JU;
  • you are a victim of or witness to discrimination on any grounds, harassment, sexual harassment, hate speech etc. at the JU;
  • you are a transgender or non-binary person and need support in the scope of functioning at the JU, including the use of network services;
  • you believe that certain areas of the JU create hazards for people who use them;
  • you have an idea for organizing an initiative that promotes safety and equal treatment at the JU.

The application should contain:

  • data of the reporting person (e.g. name, surname, the Album Studiosorum number);
  • if the report concerns the behavior of a specific person - data of that person (e.g. name, surname, faculty/institute, field of study);
  • a description of the situation to which the report relates;
  • information to whom else the case was reported (in and outside the university);
  • any materials and documents related to the case (e.g. emails, screenshots, text messages).

Our team may also decide to accept a report that does not contain all of the above information. Each time such notifications are considered individually.

Depending on the circumstances, our team may, among other things:

  • consultations during which you will learn what paths are available to report undesirable situations or behaviours that violate your personal safety or as a result of which you experience unequal treatment;
  • acceptance of a formal report related to your having experienced situations that violate your personal safety or involve unequal treatment;
  • assistance in preparing and submitting a request for an investigation (and further: disciplinary proceedings) in connection with experiencing undesirable situations at the university;
  • assistance in notifying the relevant university units or bodies in connection with the situation that you have experienced;
  • providing you with information on the process of filing a report with the police or other law enforcement agencies in connection with experiencing a situation that may violate the law;
  • providing information on where at the university – and outside the university – you can receive support in connection with the uncomfortable situation that you have experienced.

Our team does not offer:

  • legal aid, legal advice and mediation (if you need this type of support, see the following section: legal aid and mediation);
  • psychological support (if you need this type of support, see the following section: help in crisis situations);
  • help in scholarship and social issues, as well as regarding rules and regulations and course-related matters (competent units have been established for this purpose within the Centre for Academic Support);
  • representation of the submitter in contacts with other individuals, entities, institutions, and non-university bodies involved in the case and acting as an intermediary in such contacts (e.g. negotiations with a rogue landlord, contacting the owner of a private dormitory etc.);
  • representation of the submitter in contacts with law enforcement and government agencies;
  • handling of official matters on behalf of the submitter;
  • arrangement of medical appointments.

Contacting us does not have to be tantamount to a formal report of an undesirable situation at the university. Without your knowledge and consent, we will not decide to take further formal steps in the matter that concerns you. However, you must be aware that in certain cases we are required to notify the university authorities or law enforcement authorities. For example, it will apply to situations of direct threat to life or health and an offense prosecuted ex officio (e.g. rape or battery). We may also be required to inform the university authorities about situations that constitute a breach of other applicable laws.

Submissions are discussed within the team – all persons employed by the Department are authorized to process personal data and are required to keep the submitted information confidential.
